Car Hire in Nairobi: What to Check Before You Book
Hiring a car in Nairobi is straightforward, but the gap between a smooth rental and a stressful one usually comes down to a few questions people forget to ask up front. We'd far rather you asked them — even of us — than discovered the answer the hard way at a roadside. So here's the checklist we'd want a friend to run through before booking anywhere, ours included.
Check the company before the car
Start with who you're dealing with. Look for genuine reviews across more than one platform, a proper physical presence and contactable people, and clear, written terms you can read before you pay. A company that's upfront about its pricing online is usually upfront about everything else; vague, "call us for a quote" pricing with no detail is a quiet red flag. Trust your instincts — if the communication is sloppy before they have your money, it rarely improves after.
Understand exactly what's included
- Mileage: Is it unlimited, or capped with a per-kilometre charge beyond a daily limit? For a road trip to the coast or the Mara this matters enormously — a tempting low day rate with a tight mileage cap can work out dearer than an all-in price.
- Insurance and excess: What's actually covered, and what's the excess (deductible) you'd pay if something happened? Ask for the number in plain figures, and ask whether you can reduce the excess for a small extra daily fee. Know whether windscreen, tyres and undercarriage are covered, because those are what rough roads damage.
- The Nairobi vs. outside-Nairobi rate: Many vehicles are priced differently for travel beyond the city. Be clear which rate applies to your plans so the final bill matches the quote.
- Fuel policy: Usually like-for-like — collect it full, return it full. Confirm it, and keep the receipt from your final top-up.
- Driver and cross-border rules: If you want to add a second driver or take the car into Tanzania or Uganda, ask first — both usually need arranging in advance and may carry extra paperwork or fees.
The deposit question
Most rentals hold a refundable security deposit against damage and traffic fines. There's nothing wrong with that — there's plenty wrong with not knowing the terms. Ask how much it is, how it's taken (card hold, cash, or M-Pesa), what it covers, and crucially how quickly it's released back to you after a clean return. A reputable operator will explain all of this without hesitation.
Know the documents and requirements
You'll typically need a valid driving licence (an International Driving Permit if yours isn't in English), your passport or ID, and you'll need to meet a minimum age — usually somewhere around 23 to 25, sometimes with a minimum number of years held. Some companies ask for a deposit on a card in the main driver's name. Sort all of this before you arrive and pickup becomes a five-minute formality rather than an awkward negotiation at the desk.
Inspect the car like you mean it
This is the step people skip and later regret. Before you drive off, do a slow walk-around and photograph every existing scratch, dent and scuff, plus the fuel gauge and the odometer reading, with the date visible if you can. Open the boot and check the spare tyre is present and inflated, along with the jack and wheel brace. Test the lights, indicators, wipers, air conditioning and that every seatbelt works. Two minutes here removes any argument about pre-existing damage when you return the car. A good company will do this walk-around with you and welcome your photos — that's a sign you've picked the right one.
Match the car to the trip
A city week and a Mara run are different jobs. Don't pay to run a thirsty Land Cruiser around Nairobi if a small hatchback would do, and don't try to take a low saloon down a muddy park track. The right vehicle for your route is one of the cheapest decisions you'll make — and a good rental company will steer you toward it rather than just upselling. If you're unsure, describe your itinerary and let them advise; the worst road you'll drive should decide the car.
Read the small print on extras and fines
Check how traffic fines and toll charges are handled, whether there's a fee for late returns or returning the car to a different location, and what happens in a breakdown — is there 24-hour roadside assistance, and a number that actually answers? Knowing the recovery plan before you need it turns a flat tyre in the Rift Valley from a crisis into an inconvenience.
Trust your gut
Finally, pay attention to how you're treated during booking. Are questions answered clearly and patiently? Is the contract readable? Does the price you were quoted match the price on the form? Good operators make all of this easy because they've nothing to hide. The right company turns car hire into the boring, reliable backbone of a great trip — which is exactly what it should be.
Booking online vs. walking in
Booking online ahead of time has clear advantages: you lock in the vehicle you actually want (popular cars sell out, especially in high season), you can read the terms calmly rather than under pressure at a desk, and you arrive to a car that's ready and a price that's already agreed. Walk-in hire can work in a pinch, but you're at the mercy of whatever's on the lot and you lose the chance to compare. For airport pickups in particular, booking ahead — with your flight number shared — means someone's expecting you, even if the flight is delayed, rather than you hunting for a desk after a long journey.
What sets a good rental apart
Beyond price, the things that make a rental genuinely good are the unglamorous ones: a clean, well-maintained car that's actually been serviced; a clear contract with no nasty surprises buried in it; a deposit that comes back promptly; and a real human who answers the phone if something goes wrong on the road. Those are the markers worth paying a little more for. A rock-bottom rate from an outfit you can't reach when you've got a flat tyre at dusk is no bargain at all.
